File Clerk/OfficeAssistant – Mankato, MN

General Description:  Oversee and maintain file organization and records for the firm, back-up to receptionist, and legal and paralegal assistants. Assist Office Administrator and accounting as needed.


  • Open and close electronic and paper files accurately and timely.
  • Conduct accurate Conflict of Interest checks.
  • Maintain accurate files and keep file room organized.
  • Maintain documentation of New Client referrals.
  • Perform the morning mail pickup and afternoon delivery.
  • Maintain off-site files storage.
  • Maintain forms and databases.
  • Oversee special handling of express mail.
  • Cover the receptionist during lunch hour, breaks and extended absences.
  • Conduct errands for the firm and make deliveries as requested.
  • Ensure the recycling area is neat and orderly (breakdown boxes).
  • Assist legal assistants and paralegals with projects as requested such as:
    • Scan documents as needed.
    • Draft authorizations to make record requests.
    • Transcribe dictated material from dictation equipment or hardcopy in a timely, accurate and neat manner.
    • Proofread all typed material for clarity and accuracy, and proofread legal descriptions with another person.
    • Maintain files in proper order and timely file all correspondence, pleadings, documents, billing statements, etc. Retrieve files and information promptly.
    • Compose letters and pleadings for attorney’s approval and signature when requested and accurately record time therefor.
    • Make and record copies on office copiers.
  • Assist accounting as needed with items such as:
    • Edit and prepare billing statements, print and mail.
    • Enter accounts payable and assist in semi-monthly check runs.
    • Organize and file monthly statements.
    • Enter expense reports.
  • Restock supplies when delivered.
  • Keep copiers, printers and faxes stocked with paper.
  • Ability to maintain regular attendance from 8:00 a.m. to 5:00 p.m., Monday through Friday.
  • Ability to work occasional overtime, upon request and with prior approval of Blethen Berens.
  • Maintain a professional appearance and neat work area.
  • Follow all office policies and procedures as outlined in office handbook.
  • Other duties as assigned.



  • Requires lifting of up to 20+ lbs.
  • Ability to type at 50+ wpm.
  • Requires ability to stand or sit for extended periods of time.
  • Requires ability to raise arms over head and climb step ladder


Legal Assistant – Mankato, MN

Blethen Berens is currently hiring a Legal Assistant for their Mankato office. The right candidate will have administrative experience, be highly organized with an aptitude for detail, able to work under pressure with or without direct supervision, and be technology savvy. It is preferred that that they have a minimum of two years of experience working as a legal assistant and understand the litigation cycle, however, candidates with other administrative experience or applicable training are encouraged to apply.

Candidates must be flexible, have regular attendance and be willing to work limited overtime.

Job responsibilities include but are not limited to:

  • Transcribe material from dictating machines, handwritten notes or typed copy accurately.
  • Proofread handwritten or typed material and legal descriptions.
  • Maintain files and file correspondence, documents, billing statements, etc. currently and accurately; retrieve files and information promptly.
  • Prepare and process legal documents and papers, such as summonses, subpoenas, complaints, appeals, motions, and pretrial agreements.
  • Mail, fax, or arrange for delivery of legal correspondence to clients, witnesses, and court officials.
  • Receive and place telephone calls.
  • Schedule and make appointments.
  • Make photocopies of correspondence, documents, and other printed matter.
  • Organize and maintain documents, and case files.
  • Assist attorneys in collecting information such as employment, medical, and other records.
  • Attend legal meetings, such as client interviews, and take notes.
  • Type office memos.
  • Complete various forms, such as accident reports, trial and courtroom requests, and applications for clients.

  • Able to prepare written correspondence quickly, accurately and neatly.
  • Able to work independently to identify and analyze complex issues and problems.
  • Able to think strategically and establish and implement priorities.
  • Effective and positive inter-personal communications with clients, attorneys and non-attorney staff.
